Introduction

In an environment where rapid and secure access to sensitive business and member information is critical, disconnected systems and manual document processes can quickly become obstacles to efficiency. UCM, one of the leading socio-economic organizations in Wallonia and Brussels, encountered these challenges as its services expanded and document volumes continued to increase.

To overcome these limitations, UCM launched a digital transformation program centered around IRISNext. By deploying the enterprise content management (ECM) platform, the organization centralized document management, strengthened GDPR compliance, and simplified access to information for employees, members, and more than 130,000 entrepreneurs throughout Belgium. The initiative delivered more efficient collaboration, enhanced information security, and a scalable digital foundation capable of supporting future growth.

Project Overview

As document volumes increased across departments, UCM required a more efficient and connected approach to managing information. Existing tools operated independently from one another, creating fragmented processes, limiting collaboration, and increasing compliance-related concerns.

To address these challenges, UCM selected IRISNext as its central enterprise content management (ECM) solution. The platform enabled the organization to consolidate document-related processes, improve collaboration between teams, strengthen the protection of sensitive information, and provide clients and members with streamlined access through a unified portal. Throughout the project, GDPR compliance remained a key priority.

Challenge

As the organization grew, individual departments adopted different applications and methods for managing documents. This resulted in isolated information repositories, inconsistent processes, and difficulties sharing information efficiently across teams.

Employees often had to navigate multiple disconnected systems to locate documents, creating delays in daily operations. Determining whether a document was the latest version was not always straightforward, while the absence of centralized classification standards increased the likelihood of duplication and inconsistencies. For an organization managing large amounts of confidential information, maintaining security, governance, and compliance became increasingly complex, particularly in relation to GDPR obligations and internal data protection requirements.

Solution

To support its digital transformation objectives, UCM implemented IRISNext as a centralized enterprise content management platform. The project started with a detailed assessment of existing processes and document management requirements, allowing the organization to define a phased deployment strategy that minimized disruption and encouraged rapid user adoption.

IRISNext established a single repository for managing documents across the organization, regardless of format. Documents are now indexed automatically, stored securely, and made available through a unified environment that enables fast and reliable access to information. The platform was integrated with UCM’s existing business applications and IT landscape, ensuring smooth interoperability and allowing employees to move naturally between systems.

A major benefit of the solution was its ability to enforce granular access permissions, providing greater control over sensitive information and significantly improving data protection. In addition, the implementation of a centralized customer portal enabled clients and members to access relevant documents through a secure and user-friendly interface.

"Thanks to IRISNext, we’ve been able to unify our document processes while strengthening both security and compliance. The benefits were visible from the very first weeks."

Results

The benefits of the new platform were visible almost immediately. Employees gained rapid access to information and no longer needed to switch between multiple systems to locate documents. Collaboration between departments became more efficient, with teams working from shared information and consistent document versions.

Because IRISNext integrated seamlessly with existing applications, adoption was straightforward and users were able to embrace new ways of working quickly. The platform also strengthened governance and compliance by providing comprehensive traceability, detailed access monitoring, and advanced archiving capabilities that support GDPR-related requirements.

The introduction of the customer portal further enhanced the member experience by providing secure, direct access to documents. This improved communication, accelerated information exchange, and reduced the need for manual administrative actions.

Conclusion

By modernizing its document management environment with IRISNext, UCM has established a solid platform for continued growth and innovation. The organization now benefits from more efficient processes, stronger information governance, reduced operational risk, and a more consistent experience for employees, clients, and members alike.

With a scalable digital foundation in place, UCM is well equipped to expand its use of automation, intelligent document processing, and future digital initiatives. More than a technology deployment, the project represents an important step toward greater operational agility, improved service delivery, and long-term organizational resilience.
