Project Overview
VRT (Vlaamse Radio- en Televisieomroeporganisatie) is the public broadcaster serving the Flemish Community of Belgium. Headquartered in Brussels, the organization operates television channels, radio stations, and digital platforms including VRT 1, Canvas, Ketnet, and VRT MAX. VRT’s mission is to inform, educate, and entertain while contributing to cultural diversity and social engagement.
To support greater workplace flexibility and prepare for relocation to a new office environment, VRT sought a digital document management solution for its Human Resources department. The objective was to eliminate dependence on physical records, provide location-independent access to employee documents, and improve document retrieval through metadata-based search capabilities. The project was also designed with scalability in mind, allowing future expansion to additional departments.
Before the implementation of IRISNext, all HR records were maintained exclusively as physical files stored on-site. Access to these documents was limited to employees present in the office, creating operational constraints and reducing flexibility for HR teams.

The implementation of IRISNext fundamentally changed the way HR information is managed at VRT. Employees gained secure access to HR records from any location while maintaining strict control over confidential information. By digitizing and indexing approximately 90,000 documents, the organization significantly improved document retrieval speed and reduced the time required to locate employee records.
The reduction in manual administrative effort allowed HR professionals to dedicate more time to strategic initiatives rather than document handling tasks. In addition, the cloud-based architecture of IRISNext ensured that documents were automatically backed up, reducing the risk of information loss and providing a more resilient document management environment.
Conclusion
By implementing IRISNext, VRT successfully transformed its HR document management processes and removed the limitations associated with physical archives. The organization now benefits from secure, location-independent access to employee records while improving efficiency, security, and compliance.
Following the success of this initiative, VRT extended the use of IRISNext to its archiving department and continues to work on additional integrations aimed at consolidating document management across the organization. With IRISNext supporting its digital transformation strategy, VRT is well positioned to further optimize information management and adapt to evolving workplace requirements.
